Privacy Policy
How we collect, use, and protect your information.
Last updated October 12, 2026.
Who we are
FenixFoodSafety is a DBA of FenixLearning LLC (“Fenix,” “we,” “us”). This policy covers our website, fenixfoodsafety.com; our online courses, tests, and certificates; and Fenix Compliance, the training and food handler card records that food businesses and health departments keep with us. It also covers the text messages and emails we send.
Information we collect
Information you give us. Your name, email address, and phone number when you create an account, buy a course, join an employer’s roster, or contact us; your billing details when you pay; your course progress, test results, and certificates; and what you write to our support team.
Information your employer gives us. If you work for a business that uses Fenix Compliance, your employer may add you to its roster: your name, work location, start date, mobile phone number, email address, preferred language, and food handler cards. We keep the training your employer assigns you and whether you completed it, including your signed attestation.
Information from health departments. Health departments that use Fenix Compliance keep their registry of licensed establishments and their inspection reports with us. Inspection reports are public records.
Information collected automatically. Cookies that keep you signed in and remember your cart; analytics (Google Analytics) about the pages you visit; and the device and log information any website receives, such as your IP address and browser.
Payments. Card payments are processed by Stripe. We never see or store your full card number.
How we use your information
- To provide our courses, tests, and certificates, and to let others verify a certificate you hold.
- To send you the training your employer assigns, and reminders about it, by email or text message.
- To show your employer your training and food handler card status.
- To show a health department whether the food handlers at an establishment hold valid cards, when the establishment’s operator has linked it to the department. A department never sees your contact details.
- To answer your questions, keep our services secure, prevent fraud, and improve our website and courses.
- To meet our legal obligations.
Text messages (SMS)
We text you only if you agreed to receive texts: by checking the box on your employer’s join page, or by replying YES when your employer recorded that you agreed. We use your mobile number only to send you training links, reminders about your training, and messages about your texting choices. Message frequency varies, up to 4 messages per training. Message and data rates may apply. Reply HELP for help, or STOP to stop receiving texts. See our SMS Terms.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. The categories of sharing below exclude this information; we share your mobile number only with the service provider that delivers our text messages, and only to deliver them.
How we share your information
We do not sell your personal information. We share it only as follows:
- Service providers that run parts of our service for us under contracts that limit how they may use it: hosting, payment processing (Stripe), email delivery (Postmark), text message delivery (Twilio), and website analytics (Google Analytics).
- Your employer, if you are on its roster: your training, its completion, and your food handler cards. If you sign in with a Fenix account to join a roster, your employer sees only your certificates and their dates.
- Health departments, as described above: food handler card standing for establishments linked to them, never your contact details.
- Certificate verification: anyone with a certificate’s number or QR code can confirm whether it is valid, with the holder’s name, the course, and its dates.
- When the law requires it, or to protect the rights, safety, or property of Fenix, our customers, or others.
- In a business transfer, such as a merger or sale of assets, under this policy’s protections.
How long we keep your information
We keep course records and certificates for as long as a certificate can be verified and as long as the law or a certificate program’s accreditation requires. We keep an employer’s training records for as long as the employer’s account is active and as the law requires. We keep other information only as long as we need it for the purposes above.
Your choices and rights
- You can ask us for a copy of the personal information we hold about you, and ask us to correct or delete it. Some records, such as certificates and training an employer or the law requires us to keep, may be kept after you ask.
- You can stop text messages at any time by replying STOP, and unsubscribe from marketing emails with the link in any of them.
- California residents have the right to know what personal information we collect and how we use it, to correct and delete it, and not to be discriminated against for using these rights. We do not sell personal information.
To make a request, email support@fenixfoodsafety.com. We will confirm who you are before acting on it.
Children
Our services are not directed to children under 13, and we do not knowingly collect personal information from them.
Security
We protect your information with encryption in transit, access controls, and by limiting who can see it. No method of storage or transmission is perfectly secure, but we work to protect your information and will notify you as the law requires if it is compromised.
Changes to this policy
We may update this policy. We will post the new version here with its date, and tell you directly about changes that matter.
